Role Overview
- The Professional Services Operations Coordinator supports the day-to-day operational management of the Professional Services (PS) organization. This role is responsible for maintaining operational discipline across projects, ensuring accurate reporting, coordinating with Finance and delivery teams, and supporting leadership with reliable operational data.
- The ideal candidate is detail-oriented, highly organized, and comfortable working with data, systems, and multiple stakeholders in a fast-paced SaaS environment. This role requires someone who can manage operational trackers, follow up with delivery teams, and ensure that key operational processes are executed consistently.
Key Responsibilities
- Support day-to-day operational management of the Professional Services team.
- Maintain operational trackers, dashboards, and project management data across internal systems.
- Track project progress, delivery metrics, and resource allocation across engagements.
- Prepare and distribute weekly and monthly operational and customer reports including time consumption and delivery metrics.
- Maintain accuracy of operational spreadsheets, databases, and reporting tools.
- Monitor timesheets and track hours consumed against customer contracts or Statements of Work (SOW).
- Ensure delivery data is accurately maintained in systems such as Salesforce, or similar Professional Service Automation tools with focus on time tracking for at least 100 developers.
- Coordinate with delivery teams to ensure project data and operational updates are completed on time.
- Maintain contract tracking records including SOWs, amendments, and operational documentation.
- Liaise with Finance to support reporting, invoicing inputs, and reconciliation activities.
- Provide operational and analytical support to leadership as required.
Required Skills and Qualifications
- Strong proficiency in Microsoft Excel (pivot tables, formulas, data analysis).
- Experience working with operational reporting and dashboards.
- Familiarity with tools such as Salesforce, Power BI, or similar systems is preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills in English.
- Ability to coordinate with multiple stakeholders and follow up effectively.
- Comfortable working in a fast-paced SaaS or technology environment.
- Ability to maintain confidentiality and handle sensitive operational data.
Preferred Experience
- Experience supporting Professional Services, Implementation, or Delivery teams.
- Exposure to SaaS business models and software development environments.
- Experience preparing reports for leadership or customer reporting.
- Experience coordinating with Finance teams on operational reporting.
Experience
- 3–6 years of experience in operations, project coordination, or delivery operations roles.
